JOB DESCRIPTION TITLE OF POSITION: Medical Records Manager TITLE OF IMMEDIATE SUPERVISOR: Administrator, DON, Clinical Manager POSITION SUMMARY: The medical records manager is responsible for the overall coordination and supervision of patients' medical records and the incorporation of clinical documents into those records. He/She reports directly to the Administrator. RESPONSIBILITIES: 1. Set up new patient clinical records. Ensure HIPAA guidelines and procedures are maintained. 2. Break down discharged patients' records and give them to the Q.I. for review discharge. 3. Log in and out physician orders and mail orders to the appropriate physicians. 4. File documentation on patient charts in chronological order in appropriate locations, weekly. 5. Maintain files in locked cabinets to assure confidentiality of patient information. 6. Assist office and field staff in locating charts and documentation. 7. Monitor check-in and check-out of patient charts by office and field staff. 8. Maintain and store all discharge patient charts. 9. Develop and implement systems to assure organization and timely retrieval of documentation. 10. Supervise Medical Records department clerical staff, if applicable. 11. Project a concerned, professional attitude toward departmental personnel. 12. Work to develop a positive rapport with all staff members. 13. Assist with the orientation of new employees as requested. 14. Establish mutual goal setting and achievement standards. 15. Perform other duties as assigned by the Director. POSITION REQUIREMENTS: 1. Minimum of 1 years experience in the maintenance of medical or legal documents and records. 2. Must possess excellent organizational skills and knowledge of numeric and alphabetical filing systems. 3. Must exhibit maturity and ability to deal with people effectively. JOB CONDITIONS Position is stressful in meeting deadlines. Minimal lifting of office records and printouts. Primarily, a desk job which involves sitting, standing, stooping and walking. Excessive telephone communication. Traveling by car or airplane to local, out-of-town or state seminars, conferences or meetings. Must be able to read 12 point or larger type.
